This manual explains the main concepts and areas of PawDesk so you can get the most out of your clinic workspace.

Pets

What are pets?

Pets are the animal patients your clinic cares for. Each pet has a profile that holds their name, species, breed, date of birth, weight history, primary and secondary owners, and medical context (e.g. notes, visit history, vaccines, lab tests).

What you can do

  • Create and edit pet records (name, species, breed, photo, weight).
  • Assign one or more owners to a pet (primary and secondary).
  • View a timeline of visits, appointments, and tests linked to the pet.
  • Record and track vaccines and view vaccine due dates.
  • Attach lab results and imaging; link tests to appointments.
  • Use Ranulfo AI to get a quick summary of the pet's key info (Pro).
  • Send the owner a link to the pet portal (view-only access for clients).

Owners

What are owners?

Owners are the clients or guardians of your patients. An owner record stores contact details (name, email, phone, address) and links to all pets they own. One owner can have multiple pets; one pet can have multiple owners (e.g. primary and secondary).

What you can do

  • Create and edit owner records (name, email, phone, address).
  • Link owners to pets as primary or secondary.
  • View all pets belonging to an owner from their profile.
  • Use owner contact info for appointment reminders, receipts, and communications.
  • Send pet portal links by email to the primary owner when a pet is created.

Vets

What are vets?

Vets (and optionally other staff) are the clinicians and team members in your clinic. Each vet has a name, optional clinic assignment, and can be linked to appointments, visits, and tasks so you know who is responsible or who saw a patient.

What you can do

  • Add and edit vets (and staff) with name and clinic.
  • Assign a vet to appointments and visits.
  • Filter or view schedules and workload by vet.
  • Use vets in reports and in the Intelligence dashboard (Pro).

Dashboard

What is the Dashboard?

The Dashboard (Home) is your main landing page after sign-in. It gives you a quick overview of what's happening: today's appointments, upcoming tasks, recent activity, and — on Pro — a daily summary from Ranulfo so you can start the day with context at a glance.

What you can do

  • See today's appointments and jump to the calendar or appointment details.
  • See open tasks and follow-ups with due dates.
  • Read Ranulfo's daily summary (Pro) for a short overview of the day.
  • Access quick links to add a pet, owner, or appointment.
  • Use the setup checklist if you're still configuring your clinic.

Today

What is Today?

The Today view is a day-focused view of your schedule. It shows appointments in a calendar layout (by time slot) for the selected day, so you can see at a glance who is coming in and when, and reschedule or manage appointments quickly.

What you can do

  • View appointments for a chosen day in a time-grid layout.
  • Create new appointments and assign them to a pet and optionally a vet.
  • Reschedule by dragging appointments or editing times.
  • Mark appointments as completed or cancelled.
  • Navigate by day (previous/next) or use the calendar to jump to a date.

Organizations (My PawDesk)

What are organizations?

In PawDesk, your clinic is represented by an organization. The organization holds your team members (invited via email), your plan and billing, and is the container for all data (pets, owners, appointments, etc.). My PawDesk is where you manage this organization: members, roles, and subscription.

What you can do

  • Invite team members to your organization by email.
  • Manage roles (e.g. admin vs member) and remove members.
  • View and manage your plan (Starter or Pro) and billing (Clerk Billing).
  • See trial status and upgrade or change plan as needed.

My PawDesk (team & billing)

This is the same as the Organizations section above: My PawDesk is the entry point in Setup for managing your organization, team, and plan. You can invite members, change roles, and manage billing from here.

My Clinic

What it is

My Clinic is where you set your clinic profile: name, logo, address, phone, and other contact details. This information is used on receipts, prescriptions, and other documents so clients see consistent branding.

What you can do

  • Set your clinic name and upload a logo.
  • Enter address, phone, email, and website.
  • Use this profile across prescriptions, receipts, and client-facing materials.

Email & messaging

What it is

Email & messaging (Reminders) lets you configure automated emails: appointment confirmations, cancellations, rescheduling (with .ics attachments), and optional birthday emails for pets. You can control which emails are sent and customize templates where supported.

What you can do

  • Enable or disable confirmation, cancellation, and rescheduling emails.
  • Optionally enable birthday emails for pets.
  • Review or edit email templates so they match your clinic's tone.

Language & region

What it is

Language & region controls how dates, times, and numbers are displayed in the app (e.g. date format, first day of week, 12h vs 24h time), and the UI language if multiple are supported.

What you can do

  • Choose your preferred date format and first day of the week.
  • Switch between 12-hour and 24-hour time display.
  • Select UI language when available.

Ranulfo (AI)

What it is

Ranulfo is PawDesk's AI assistant. On Pro plans, Ranulfo provides daily dashboard summaries, pet and visit summaries, next best actions, and smart reminders. This Setup section lets you enable or disable Ranulfo features and control where summaries appear.

What you can do

  • Enable or disable Ranulfo on the dashboard and on pet/visit pages.
  • Control which summary types are shown (e.g. today summary, pet summary).
  • Ranulfo is available on Pro; Starter does not include AI features.

Vaccines

What it is

The Vaccines setup area lets you define vaccine templates (name, typical interval, etc.) that your clinic uses. These templates are then used when recording vaccines per pet so you can track due dates and schedules consistently.

What you can do

  • Create and edit vaccine templates (e.g. rabies, DHPP).
  • Set default intervals or due rules for reminders.
  • Use these templates when recording vaccines on pet records.

Templates

What it is

Templates cover document templates used across the app, such as consent forms and other repeatable documents. You can create and manage templates so they're ready to use when needed during visits or procedures.

What you can do

  • Create and edit consent (or other) templates.
  • Use templates when documenting consent or procedures on visits.
  • Keep wording consistent and compliant across the clinic.

Audit trail

What it is

The Audit trail records important actions in the app (e.g. who created or updated a record, when). It helps with compliance and accountability. You can view the log and, where supported, export it for external review.

What you can do

  • View the activity log (who did what, when).
  • Filter or search the audit trail by date or action type.
  • Export the audit log for compliance or record-keeping.
