What are pets?
Pets are the animal patients your clinic cares for. Each pet has a profile with name, species, breed, date of birth, weight history, primary and secondary owners, and medical context (notes, visit history, vaccines, lab tests, problem list, and a health timeline).
What you can do
- Create and edit pet records (name, species, breed, photo, weight).
- Assign one or more owners to a pet (primary and secondary).
- Review a health timeline: visits, appointments, tests, conditions, and key events in one place.
- Record problem lists and track vaccines with due dates.
- Attach lab results and imaging; link tests to appointments.
- Use Ranulfo for quick summaries and context on Pro.
- Send the owner a link to the pet portal (read-only) so they can see their pet on the web.
Owners
What are owners?
Owners are the clients or guardians of your patients. A record stores contact details (name, email, phone, address) and links to all pets they own. One owner can have multiple pets; a pet can have multiple owners (e.g. primary and secondary).
What you can do
- Create and edit owner records (name, email, phone, address).
- Link owners to pets as primary or secondary.
- View all pets belonging to an owner from their profile.
- Use contact info for appointment reminders, receipts, and communications.
- Send pet portal links by email to the primary owner when a pet is created.
Vets
What are vets?
Vets (and other staff) are the clinicians and team members in your clinic. Each has a name, optional clinic assignment, and can be linked to appointments, visits, and tasks so you know who is responsible or who saw a patient.
What you can do
- Add and edit vets and staff with name and clinic.
- Assign a vet to appointments and visits.
- Filter or view schedules and workload by vet.
- Use vets in reports and on the Intelligence dashboard (Pro).
Dashboard
What is the Dashboard?
The Dashboard (Home) is your landing page after sign-in. It surfaces today’s work: appointments, tasks, recent activity, and — on Pro — a short daily brief from Ranulfo so you can start the day with context.
What you can do
- See today’s appointments and jump to the calendar or details.
- See open tasks and follow-ups with due dates.
- Read Ranulfo’s daily summary (Pro) for a quick overview of the day.
- Use quick links to add a pet, owner, or appointment.
- Work through the setup checklist if you’re still configuring the clinic.
Today
What is Today?
Today is a day-focused view of the schedule. It shows appointments in a time grid for the selected day so you can see who is coming in, reschedule, and manage the day in one place.
What you can do
- View appointments for a chosen day in a time grid.
- Create appointments and assign them to a pet and optionally a vet.
- Reschedule by editing times or from the schedule UI.
- Mark appointments completed or cancelled.
- Move by day (previous/next) or pick a date from the calendar.
Appointments
What are appointments?
Appointments are scheduled slots on your calendar, tied to pets (and often a vet). They can sync with automated emails: confirmations, changes, and reminders, depending on your Email & messaging settings. Owners may request new times; your workflow can include approving or rescheduling those requests.
What you can do
- Create and manage appointments from the full appointments experience or from Today.
- Check availability and avoid double-booking using your team’s hours and rules.
- Tie communication to the appointment: confirmations, reschedules, and cancellations (with .ics where supported).
- Start or link a visit from a completed appointment when you move into clinical documentation.
Visits
What are visits?
Visits are your clinical records for a patient on a given occasion: history, exam, problem list, drugs, tests, discharges, and documents. They connect to pets and optionally to the appointment that brought the patient in, and they feed the pet’s health timeline.
What you can do
- Document SOAP-style notes, vitals, exams, and templates.
- Order or record lab tests, imaging, and vaccines.
- Generate prescriptions, discharges, and owner-facing materials.
- Use Ranulfo on visit pages (Pro) for summaries and suggested next steps where enabled.
Tasks
What are tasks?
Tasks are follow-ups: callbacks, to-dos, and items that can be owned by a team member, due on a date, and linked to pets or other records so nothing falls through the cracks.
What you can do
- Create tasks from the dashboard, lists, or where the app offers a “create task” path.
- See due tasks on the Dashboard and in task views (filter by status or assignee as available).
- Link tasks to email or inbound events when the product creates them automatically.
Clinic email
What is Clinic email?
Clinic email is where you compose mail to clients, keep drafts, review sent history, and — for inbound — see replies and new messages to your clinic address. Inbox can use Ranulfo to categorize messages (e.g. lab, general) to help you triage; that appears as a small label on the inbox, not a replacement for your judgment.
What you can do
- Compose to pet owners, use templates and clinic footer, and track Sent and Drafts.
- Read inbound mail, link threads to owners when the system can match them, and re-scan the inbox to recover unmatched messages if needed.
- Separate from automated system emails (reminders, confirmations) configured under Email & messaging in Setup.
Organizations (My PawDesk)
What are organizations?
In PawDesk, your clinic is an organization. It holds your team (invited by email), plan and billing, and all your data. My PawDesk is where you manage members, roles, and subscription.
What you can do
- Invite team members by email.
- Manage roles (e.g. admin vs member) and remove members.
- View and manage your plan (Starter or Pro) and billing (Clerk Billing).
- See trial status and upgrade or change plan as needed.
My PawDesk (team & billing)
In Setup, My PawDesk is the same organization hub: team and billing in one place. Use it to invite people, set roles, and handle your subscription.
My Clinic
What it is
My Clinic is your profile: name, logo, address, phone, and contact details. This information appears on receipts, prescriptions, and other client-facing materials for consistent branding.
What you can do
- Set clinic name and upload a logo.
- Enter address, phone, email, and website (including locale such as clinic timezone).
- Use this profile across prescriptions, receipts, and communications.
Email & messaging
What it is
Email & messaging configures automated system emails: appointment confirmations, cancellations, rescheduling (including .ics where supported), optional birthday messages for pets, and related templates. This is different from the manual Clinic email area where you read and write mail yourself.
What you can do
- Enable or disable confirmation, cancellation, and rescheduling emails.
- Optionally enable birthday emails for pets.
- Review or edit supported templates to match your clinic’s tone.
Language & region
What it is
Language and region control how dates, times, and numbers are shown in the app (date format, first day of week, 12h vs 24h), and the UI language when multiple languages are available.
What you can do
- Choose date format and first day of the week.
- Switch 12-hour and 24-hour time display.
- Select UI language when available.
Ranulfo (AI)
What it is
Ranulfo is PawDesk’s AI assistant. On Pro, Ranulfo can provide dashboard summaries, pet and visit summaries, suggested actions, and smart reminders. It can also power inbox help (e.g. message categories) where enabled. This Setup area lets you turn features on or off to match your workflow.
What you can do
- Enable or disable Ranulfo on the dashboard and on pet/visit pages.
- Control which summary types appear, where the product offers toggles.
- Ranulfo and advanced AI are on Pro; Starter does not include those features.
Vaccines
What it is
Vaccine setup lets you define templates (name, typical interval) your clinic uses. Those templates are used when recording vaccines on pets so due dates and reminders stay consistent.
What you can do
- Create and edit vaccine templates (e.g. rabies, DHPP).
- Set default intervals or rules for due reminders.
- Use these templates when recording vaccines on pet records.
Templates
What it is
Templates are repeatable document patterns—consent forms, procedures, and similar—so the team can apply consistent, compliant wording during visits.
What you can do
- Create and edit templates.
- Use them when documenting consent or procedures on visits.
- Keep language consistent across the clinic.
Audit trail
What it is
The audit trail records important actions in the app (who changed what, when) for compliance and accountability. You can review the log and, where supported, export it.
What you can do
- View the activity log (who did what, when).
- Filter or search by date or action type where the UI supports it.
- Export the audit log for record-keeping when available.
